We don’t like writing terms and conditions, and we know you don’t like reading them, but they’re here for a reason, and that’s to protect both you and Holidays In Northumberland.

General

This is a legally binding contract between the property owner, Holidays In Northumberland and the holidaymaker. The property owner is also referred to as “we” and “us”.

The holidaymaker is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The holidaymaker is also referred to as “you”.

Bookings

A booking deposit is payable within five days of the provisional booking being taken. The booking is taken on a provisional basis until the deposit has been paid in full and funds cleared through the banking system (where appropriate). The booking then becomes confirmed. Until the booking is confirmed, it can be cancelled at any time without prior notice.

The balance of the rental charge, along with the breakage deposit, is payable not less than 30 days prior to the start of the holiday. Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the holidaymaker. Please be sure to note the due dates of these payments as reminders are not routinely issued.

Bookings made less than 4 weeks prior to the arrival date must be paid in full at the time of booking.

Cancellation by the Holidaymaker

Cancellation of the booking by the holidaymaker should be made in writing and addressed to:

In the event of a cancellation, we will attempt to re-let the property and if successful, a discretionary payment may be made. However, we strongly recommend you take out holiday cancellation insurance.

Cancellation by the Property Owner

The property owner will endeavour to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes not available and the property owner has to cancel the booking, the property owner will endeavour to find the holidaymaker suitable alternative accommodation. If suitable alternative accommodation cannot be found, the holidaymaker shall be entitled to a full refund. The property owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.

Miscellaneous

Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change. The holidaymaker accepts that no refunds are available for such discrepancies.

The property owner reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.

The property owner is entitled to ask the holidaymaker to leave the property without any refund if, in the property owner’s opinion, the behaviour of the holidaymaker and/or his/her party is unacceptable.

The property owner reserves the right to refuse entry to anyone, who in the property owner’s opinion is not suitable to or capable of taking charge of the property.

The property owner reserves the right to ask the holidaymaker and their party to leave the property, without refund, should the behaviour of the holidaymaker and/or their party be considered by the property owner to be unreasonable.

Number of Guests

The maximum number of people entitled to stay at this property is six and furthermore, only those people named on the booking form are entitled to stay. If it is found that more people than agreed are using the property, this will be considered a breach of contract and the holidaymaker and his/her party will be asked to leave immediately without any refund. Sub letting or assignation of the let is prohibited.

Pets

Pets are allowed in the property subject to the property owner’s agreement. All pets must be house trained and the number and type of pet must not exceed what was agreed at the time of booking, otherwise a breach of contract will be deemed to have taken place.

Pets must not be left unaccompanied in the property at any time and must not be allowed on the beds or furniture. The holidaymaker shall be liable for all damage caused by his/her pet or any pet belonging to the holidaymaker’s party. A charge will be made for any additional cleaning required. The property owner cannot be held responsible for any accident or injury to a pet during their stay.

Arrival and Departure Time

Every effort will be made to have the property available from 3pm on the day of arrival. The property must be vacated by 11am] on the day of departure. Late departure will result in an additional charge being made. Information about keys and how to collect them will be provided once full payment has been received.

Liability

The property owner takes no responsibility for the personal possessions of the holidaymaker or the holidaymaker’s party. Vehicles and possessions are left entirely at the risk of the holidaymaker.

Children must be supervised at all times.

Cleaning

We would like to think the holidaymaker and party would treat the property as they would their own home and at the end of the holiday the property is left in a clean and tidy condition. The property owner retains the right to make an additional charge for cleaning should the property not be left in a similar condition to the way it was found at the start of the holiday.

Breakages

The holidaymaker should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday. Any accidental damages or breakages should be reported to the property owner (or their representative) prior to departure. The property owner retains the right to make an additional charge for damage and breakages although it should be noted that minor breakages and reasonable wear and tear (in the opinion of the property owner) will not be charged for.

Complaints

Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the holidaymaker to make any such problem known to the property owner (or their representative) immediately it becomes apparent, thereby giving the property owner the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.

The property owner will make every endeavour to rectify any identified problems as soon as is reasonably possible.

Return of Breakage Deposit

Your breakage deposit, minus any deductions, will be returned to you within 7 days of the departure.

Communicating with the Client
For the purposes of the Data Protection Act 1998, Holiday’s In Northumberland is the sole data controller of all personal data provided to Holiday’s In Northumberland by clients and prospective clients. In order to process a booking Holiday’s In Northumberland needs to collect certain personal data details from the Client, for example names and addresses of party members, credit/debit card or other payment details, special requirements, such as those relating to a disability or medical condition which may affect any party member’s holiday arrangements. If Holiday’s In Northumberland needs any other personal details the Client will be told before they are obtained. Holiday’s In Northumberland needs to pass these details on to other parties and organisations who need to know them so that the holiday rental can be provided, for example, the credit/debit card Company or bank, the insurance Company if the Company’s recommended cancellation insurance policy is purchased or for verification of details relating to your holiday rental. Holiday’s In Northumberland also needs to process and store Clients’ personal details for its own administration, market analyses and operational reviews. Holiday’s In Northumberland would also like to store and use personal details for future marketing purposes (for example, sending brochures, details of promotions, or offers which Holiday’s In Northumberland feels may be of interest). All details given to Holiday In Northumberland at any time will be kept, but only names, contact details and the booking preferences will be used for marketing purposes unless the Client is informed otherwise when the information is provided. Holiday’s In Northumberland will respect the privacy of personal data and will comply with all relevant and current data protection legislation. Without written consent Holiday’s In Northumberland will not make its mailing list or Clients’ personal data available for marketing purposes unless required to do so by a Court of Law. Competent jurisdiction will not disclose personal data to anyone. Holiday’s In Northumberland can however supply promotional offers from third parties.

Exclusive Offers
Holiday’s In Northumberland may from time to time offer discounted rates for last minute bookings, these offers apply to new bookings only for the dates specified on the offer and cannot be used in conjunction with any other discount. Any disputes are at the discretion of Holiday’s In Northumberland.

Important Please Read – Hot Tub Information

SAFETY IN THE HOT TUB

To ensure you can enjoy the hot tub safely, please can each member of the party read through these important rules: The person who made the booking is solely responsible for this.

 

  • All hot tubs are emptied, cleaned and refilled after each stay, therefore the hot tubs may not be up to temperature until late evening / early next morning.
  • If you set the hot tub for 39/40 degrees C, please limit your time in the hot tub to a maximum of 20 minutes, as extending this time may affect your inner organs and cause fever-like conditions. At 36/37 degrees C this time can be extended as this is normal body temperature.
  • Do not immerse your head in the hot tub water, as this increases risk of infection and can heighten the dangers of drowning due to suction below the water line.
  • Never use the hot tub alone and take care when entering and leaving the hot tub. 
  • When using the hot tub, leg muscles become relaxed enough to make you unsteady on your feet plus if you have splashed water this will make the steps and surrounding area slippy.
  • Never use glass near or in the hot tub as broken glass can cause a risk to guests in bare feet and is very difficult to see in the water and surrounding area.
  • Do not use electrical appliances near or in the hot tub.
  • If any fault or damage occurs with the hot tub, please contact us on 07701308784 immediately so this can be rectified or dealt with.
  • Parents are advised that hot tubs are not suitable for children under the age of 4. All children should not be allowed to get water into their mouth as this increases the risk of infection and illness. Every 15 minutes ALL CHILDREN should have a shower and the chemicals washed off their skin or a rash will appear.
  • NEVER allow children to use the hot tub unsupervised and when not in use, please make sure the cover is closed and secure.
  • Never use the hot tub whilst using narcotics or other drugs that may cause sleepiness, drowsiness or raise/lower your blood pressure.
  • No alcohol is to be consumed in the hot tub
  • During pregnancy, use of the hot tub is not permitted.
  • People with skin, ear, genital or other body infections, open sores or wounds should not use the hot tub to avoid spreading infection.
  • Do not use the hot tub if you have heart disease, diabetes, high or low pressure or any other serious illness.
  • The heat of the hot tub speeds up the affects of alcohol and can cause sleepiness, dizziness and unconsciousness.
  • Shower with soap before and water before entering and after using the hot tub to remove any lotions and deodorants etc before and after using the hot tub. Failure to do this may affect the spa sanitiser and may make the hot tub unavailable for your use.
  • Do not enter the hot tub if you have fake tan on you skin as this reduces the effectiveness of the spa sanitiser and will colour the water and will mark the waterline of the hot tub.
  • DO NOT use the hot tub after a heavy meal.
  • Avoid entering the hot tub shortly after exercising as the water temperature can affect your heart rate.
  • DO NOT use the hot tub for at least 48 hours after any kind of waxing.
  • Care MUST be taken when entering and leaving the hot tub as the steps and surrounding area as water from the hot tub can splash out and will cause it to be slippery.
  • If an allergic reaction occurs, leave the hot tub immediately and rinse off in the shower and contact a local doctor or go to A & E. Details can be found in the guest information file.
  • Do not turn off the hot tub isolation switch at the electricity point of your Cabin, as power is needed to be turned on to carry out the cleaning cycles.
  • Use of bubble bath is strictly forbidden and may result in your hot tub been drained, cleaned and repaired and no refund will be given.
  • To comply with HSE regulations the hot tub water is checked every day.

**** Please note if excess water is splashed and the water level drops it may not be refilled till 5pm the next day and it will take a long time to re heat, therefore may be unable to be used and we cannot offer a refund *****

It is your responsibility to enforce the rules of safety within the Cabin’s hot tub. When you booked your accommodation, you agreed to all the terms and conditions. I have read and understood the guidelines and safety advice for using the Hot Tub.  I agree to only use the Hot Tub in the correct manner, following the Safety Guidelines. 

 I understand that Holidays In Northumberland will in no way be held responsible for any accident or injury arising from incorrect use of the Hot Tub (including splashed water causing a fall), or failure to adhere to the safety advice.                                             

I understand that any damage to the Hot Tub or cover incurred by my party will have to be covered by the person who made the booking.
